Academic Years define the grade levels offered by the school and are used to enrol students and associate the correct tuition fees used for both deposit calculation and also identifies any fees to send to the Student Management System.
Create an Academic Year
Go to Modules ▸ Academic management ▸ Setup ▸ Academic year.
Select New.
Sequence: Automatically assigned by the system and determines the order in which grades appear. This cannot be edited.
Complete the following fields:
Academic year
- Enter the short code for the grade (for example, KG1, 01, 02).
- This code is used internally by the system and must be as per the student management system.
Description
- Enter the full grade name (for example, KG1, Grade 1).
- This description is displayed to users across Academic Management.
School level dimension
- Select the school level financial dimension the grade belongs to (for example, KG1, G01).
- This dimension supports reporting and fee structures by school level.
Yeargroup dimension
- Select the broader year group (for example, KG, PRIMARY, SECONDARY).
- This is used for grouping grades for academic, reporting, and financial purposes.
Fee Master List
From the look up select the fees to integrate to the student management system to record for reference
Select Save.
Assign Tuition Fee Items
Tuition fee items link the academic year for deposit calculation
From the Action Pane, select Tuition fee items.
Select New.
In the Item number field, select Tuition fee.
This defines the fee item used to base the enrolment and re-enrolment deposits for students enrolled in this academic year.
In the Unit field, enter Year.
This indicates that the tuition fee is charged annually.
Close the page.
