Exercise 1: Getting Started with Copilot Chat

Module 1 | Estimated Time: 30 minutes

Scenario

You are a DOJ staff attorney who has just been granted access to Microsoft 365 Copilot Chat as part of your Component's AI productivity rollout. In this exercise you will access Copilot Chat, explore the interface, run your first DOJ-relevant prompts, and verify that Enterprise Data Protection is active.

Note: TRAINING SCENARIO ONLY. All names, dates, and data are fictitious. In real-world use, you must ensure any information you input is unclassified, non-privileged, and approved for use in this tool. Do not enter case details, PII, grand jury material, or attorney work product. When in doubt, ask your Component's AI point of contact.

Task 1.1 — Access Copilot Chat (5 min)

Note: If you cannot access Copilot, your Component's IT administrator controls the licenses. Do not use a personal or commercial version of Copilot for any DOJ work.

  1. Open your web browser and navigate to https://www.office.com.
  2. Sign in with your DOJ work email account.
  3. Select Copilot from the Microsoft 365 app launcher (the waffle icon in the upper left), or navigate directly to https://m365.cloud.microsoft/chat.
  4. Confirm you see the Copilot Chat home screen with the prompt input box.

Try it: Also open Copilot Chat from a second entry point:

  • In Microsoft Teams, select the Copilot icon from the left-side menu.
  • In Microsoft Word, open a document and select Copilot from the Home ribbon.

Note (GCC): The Copilot icon in the Microsoft Edge browser sidebar is not available in GCC environments. Use the browser at https://www.office.com or the Teams app instead.

Question for discussion: Which access point would you use most frequently given your daily DOJ role? Why?

Task 1.2 — Explore the Interface (10 min)

Familiarize yourself with the Copilot Chat interface by locating the following elements:

Element Where to Find It
Prompt input box Bottom center of the screen
Conversation history Left sidebar
Add content button Next to the prompt input box (paperclip icon)
Copilot Pages Left sidebar or top navigation
Prompt suggestions Displayed cards on the home screen

Try it: Select one of the suggested prompts displayed on the home screen and observe how Copilot responds. Note how it structures the response.

Task 1.3 — Your First DOJ Prompt (10 min)

Note (GCC): Web grounding — Copilot's ability to search the internet for real-time answers — is not enabled by default in GCC. If your prompts return limited results, your administrator may need to enable the "Allow web search in Copilot" policy. If web search is unavailable, Copilot will respond using its built-in knowledge, but results may not reflect the most current information.

Enter the following prompt into Copilot Chat:

What are three things I should consider when drafting talking points
for the Deputy Attorney General about DOJ's current priorities in
combating violent crime and drug trafficking? Keep the response
under 200 words.

After receiving the response:

  1. Check the sources listed beneath the answer. Select at least one source link to verify the information. If no sources appear, ask Copilot:

    What sources did you use to generate that response?

  2. Ask a follow-up question:

    List the key DOJ components involved in violent crime and drug
enforcement. Present as a bulleted list.

  3. Refine the output:

    Rewrite that list as a two-column table with the component name
in the first column and its primary enforcement role in the
second column.

Key takeaway: Notice how you can iterate on Copilot's responses conversationally, just as you would refine a request to a colleague. Each follow-up builds on the previous response without having to start over.

Task 1.4 — Verify Enterprise Data Protection (5 min)

  1. Enter this prompt:

    What security protections are in place for my data when I use
Microsoft 365 Copilot Chat in my organization?

  2. Review Copilot's response about EDP protections.

Important: Enterprise Data Protection (EDP) ensures that your prompts and responses are:

  • Not used to train AI models — your queries remain yours
  • Not visible to other users — conversations are private
  • Processed within Microsoft's enterprise security boundary — data does not leave the GCC environment

EDP does not mean it is safe to enter sensitive legal or law enforcement data. Your DOJ AI Acceptable Use Policy governs what may be entered regardless of technical protections.

Before moving to Exercise 2, confirm you can:

  • Access Copilot Chat from the Microsoft 365 portal and from Teams
  • Locate the prompt input box, conversation history, and Add Content button
  • Enter a prompt and receive a response
  • Use follow-up prompts to refine a response iteratively
  • Explain what Enterprise Data Protection does (and does not) protect
